Troubleshooting Marketing Automation

To troubleshoot missing emails, verify that both the master switch and specific tracks are enabled and that all changes are saved. Ensure quotes are in the correct status and check if customers have opted out or if your email domain needs authorization to avoid spam filters. If merge fields are blank, confirm the quote has the required customer or expiration data, and remember that live emails follow a daily schedule unlike immediate test emails. Check the activity log for "Skipped" statuses to see if quotes were archived, and note that overage warnings mean reminders will continue but will incur additional charges. 

Emails Are Not Being Sent

  • Is the master switch enabled? Check the Quote Reminders card and make sure it is set to Enabled.
  • Is the specific track enabled? Each track (Saved, Submitted, Finalized) has its own Enabled/Disabled toggle.
  • Have you saved your settings? Changes are not applied until you click the Save button.
  • Are there quotes in the right status? The Saved track only sends to quotes with a “saved” status. The Finalized track requires “finalized” status. If there are no quotes in the correct status, there is nothing to remind about.
  • Has the customer opted out? If a customer clicked the unsubscribe link, their quotes will be skipped.

Emails Are Going to Spam

  • Authorize your email domain. This is the most common fix. Emails from a generic platform address are much more likely to be filtered as spam.
  • Check your DNS records. If you have already set up domain authorization, click Check Status to make sure the domain is fully verified.

Merge Fields Show as Blank or Placeholder Text

  • Make sure the quote has the relevant data. For example, customer_name requires a customer record with a first name. If the customer checked out as a guest, the name may fall back to the email prefix.
  • expiration_date and days_remaining require that the quote has an expiration date set.

Test Emails Arrive but Live Emails Do Not

Test emails bypass delay checks (they are sent immediately), so they will always arrive as long as the email infrastructure is working. Live emails are processed by a daily scheduled job. Make sure enough days have passed for the first step's delay to be reached.

The Activity Log Shows “Skipped” Status

A skipped status means the system intended to send a reminder but something prevented it. Hover over the status badge to see the specific reason. Common reasons include: customer opted out, quote was archived, or the parent product is no longer active.

I See an Overage Warning

You are approaching or exceeding your plan's included quotes or emails. Reminders will continue to be sent — they are not cut off. Overage charges will be billed at the end of your billing cycle. Consider upgrading your plan if overages are a regular occurrence.
